How to Calculate Recipe Cost (Step-by-Step for Beginners)

Calculate recipe cost with a step-by-step method. Spreadsheet logic, common mistakes, and how to use recipe costing to set menu prices.

I've seen bakeries price their croissants at $3.50 because "that's what the place down the street charges." When they finally costed the recipe, the butter alone was $0.87 per croissant. With flour, labor, and packaging, their cost was $2.14. They were making $1.36 per croissant before rent, utilities, and everything else. They needed to sell 1,100 croissants a month just to cover the baker's salary.

Recipe costing isn't complicated math. It's tedious attention to detail. Most restaurants skip it because it's boring. Then they wonder why their food cost percentage is 37%.

The Basic Formula

Recipe cost is the sum of every ingredient in a dish, calculated down to the per-serving amount. The formula:

That's it. For every ingredient, you figure out what one unit costs, then multiply by how much you use.

Step 1: List Every Ingredient

Write down everything that goes into the dish. Everything. The oil in the pan. The salt in the water. The garnish on top. A pasta dish might have 12-15 ingredients when you count them all.

Most beginners miss:

  • Cooking oil and butter used in the pan
  • Seasoning blends (that $8 jar of herbs de Provence divided across 40 dishes)
  • Garnishes (that sprig of parsley costs $0.04. It adds up.)
  • Condiments served on the side
  • Bread or chips that come with the meal automatically

Step 2: Convert Everything to the Same Unit

Your chicken comes in pounds. Your recipe uses ounces. Your olive oil comes in liters. Your recipe uses tablespoons. Convert everything to the unit your recipe uses before you do any math.

Common conversions for recipe costing:

Step 3: Calculate Per-Unit Cost

Take the price you paid and divide by the usable quantity. Not the package weight. The usable quantity.

A 40-lb case of chicken breast costs $92. That's $2.30/lb. But after trimming fat and cartilage, you get 34 lbs of usable meat. Your real cost is:

That's an 18% difference. If you costed at $2.30, your recipe cost is wrong by nearly a fifth.

This is called "yield percentage" and it matters most for:

  • Proteins (trim loss)
  • Produce (peeling, coring, seeding)
  • Anything with bones or shells

Step 4: Calculate Each Ingredient's Cost in the Recipe

Now multiply your per-unit cost by the amount in the recipe.

Example for a chicken pasta dish:

That's a $3.18 plate cost. At a 30% target food cost:

At $14, it runs a 22.7% food cost. That leaves room to absorb the higher-cost items on your menu.

Step 5: Add a Waste Factor

No kitchen runs at 100% efficiency. Something gets dropped. Something gets sent back. Something sits in the window too long and gets remade. Add 2-5% to your recipe cost for waste.

For the pasta dish above at 3% waste: $3.18 × 1.03 = $3.28 actual plate cost.

The Spreadsheet Method

You don't need software to start. A spreadsheet works fine:

  1. Column A: Ingredient name
  2. Column B: Purchase unit (case, lb, gallon)
  3. Column C: Purchase price
  4. Column D: Yield percentage
  5. Column E: Usable quantity (B × D)
  6. Column F: Cost per base unit (C ÷ E)
  7. Column G: Recipe quantity
  8. Column H: Ingredient cost (F × G)

Sum column H. That's your recipe cost.

Update your spreadsheet every time a supplier changes prices. Restaurants that use the same costing spreadsheet for 2 years typically see their actual food cost drift 4 points. The spreadsheet was accurate. The prices in it weren't.

Common Mistakes

Using package weight instead of usable weight. Already covered. This is the #1 error.

Forgetting seasonal price swings. Tomatoes cost $18 a case in July and $34 in January. If you costed your caprese salad in July, your winter food cost on that dish is nearly double. Either adjust the price seasonally or use a weighted average.

Ignoring the free stuff. The bread basket. The amuse-bouche. The "on the house" dessert for regulars. These have food cost. Track them.

Not updating when recipes change. The chef adds sundried tomatoes to the pasta dish. Nobody updates the costing sheet. Six months later, the dish costs $0.60 more than anyone thinks. On 40 orders a week, that's $24 a week. $1,248 a year. On one ingredient change.

From Recipe Cost to Menu Price

Once you have your recipe cost, setting the menu price is straightforward:

If your pasta dish costs $3.28 and you want a 28% food cost: $3.28 ÷ 0.28 = $11.71. Round to $11.99 or $12.49 depending on your menu pricing psychology.

But don't price every dish at the same percentage. Your high-volume items can run a tighter margin. Your signature dishes can run higher. Your menu engineering matrix should guide which items carry which margins.
